Who holds your data

ROITCOVE VENTURES LLP, LLPIN ACZ-2215, India, trading as AS SCHEDULED. We are the data fiduciary for everything described below.

What we collect, and when

When you book a departure: your name, age, gender if you share it, phone number, email, college, city and state, the plan you chose and, if you fill them in, your Instagram handle and why you want to come.

When you write to us or propose a collaboration: your name, organisation, email, phone and message.

When you join the mailing list: your email address, the preference you select and the date you consented.

How it reaches us

The booking and collab forms on this website prepare a WhatsApp message on your device. Nothing is sent until you send that message yourself. Your form answers are also kept in your own browser so you don’t lose them, and you can clear them by clearing your browser data.

Identity documents

Some departures need a government photo ID and a college ID, to book rail travel in your name and to confirm you are a student for the host campus. We ask for them only after you book, keep them private and delete them after the trip ends. You can ask us to delete them sooner.

What we use it for

Booking your travel and accommodation, reaching you before and during the trip, and meeting our legal and tax obligations. Nothing else. We do not sell your data, we do not share it for advertising, and we do not add you to a mailing list you did not ask to join.

Who else processes it

Rail, hotel and transport bookings require passing your travel details to the relevant operator. If you book Spring Fest 2027, the Spring Fest team at IIT Kharagpur can see your booking details and payment screenshot in a private, read-only list, so they can admit you to the campus and the fest. Our hosting provider serves this website. Some providers may process data outside India.

Your rights

Ask us what we hold about you, correct it, or delete it, by writing to info@asscheduled.com.

Summary only. Write to info@asscheduled.com with any privacy question.
